NexLink Core LLC (“NexLink Core,” “NLC,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect your personal information when you use our services, websites, software, APIs, and Discord applications and bots, and other offerings (collectively, the “Services”). By accessing or using the Services — including by adding or interacting with any Discord application or bot we operate — you agree to this Privacy Policy.
This Policy covers Discord applications and bots that NexLink Core itself operates under its own Discord developer account (each, a “NexLink Bot”). It does not cover bots or applications that other customers operate using our hosting services — those customers are the developers of their own applications and are responsible for their own privacy policies. This Policy does not supersede, modify, or conflict with Discord’s own Terms of Service, Developer Terms, Developer Policy, or Privacy Policy; where any conflict exists, Discord’s terms control.
1. Information We Collect
We may collect the following types of information:
a. Information You Provide
- Account Information: When you sign up or use our Services, we may collect your name, email address, account username, and other details.
- Billing & Payment Information: When you purchase a server or other paid Service, we collect the information needed to process your order, bill you, and maintain your account. This includes your billing name, billing address, email address, the products and services you purchase, and your invoice and transaction history. Payment card and similar payment details are collected and processed by our third-party payment processors (Stripe and PayPal); we do not store full payment card numbers on our own systems. We may also process limited information used to detect and prevent fraud and abuse (such as IP address).
- Support Requests: If you contact us, we may collect details about your inquiry and any additional information you provide.
b. Automatically Collected Information
- Usage Data: Information about your interactions with our Services, such as IP address, browser type, device information, and usage logs.
- Cookies and Tracking Technologies: We use cookies and similar technologies on our websites to enhance your experience and gather analytics. (Our Discord bots do not use cookies.)
c. Third-Party Information
We may receive information from third parties, such as payment processors or platforms like Discord, when you use integrated features.
d. Discord Application & Bot Data (“API Data”)
When you interact with a NexLink Bot, we may collect, through Discord’s API and directly from your interactions, only the data needed to operate the bot’s features. Depending on the bot, this may include:
- Discord identifiers — your Discord user ID, username and display name, and the server (guild), channel, role, and message identifiers relevant to your interaction.
- Email address (certain bots and features only) — where a NexLink Bot or feature requires it, we collect the email address associated with your Discord account. This is only obtained when you authorize the application through Discord and grant the email permission (the OAuth2 “email” scope) on Discord’s authorization screen. We rely on your consent for this, and you can decline by not authorizing the application.
- Content you provide to the bot — commands, button selections, modal/form inputs, and message content you submit (for example, a media title or request, configuration options, or a support message).
- Operational and diagnostic data — timestamps, the actions you take, request and fulfillment status, and error or technical logs generated while the bot runs.
- Configuration data — settings a server administrator configures for the bot (for example, designated channels, roles, or fulfillment workflows).
We do not intentionally collect special-category or sensitive personal data through our bots, and you should not submit such data to a NexLink Bot.
2. How We Use Your Information
We use your information to:
- Provide, operate, and improve our Services, including the features of our NexLink Bots.
- Route, fulfill, and track requests you submit to a bot (including administrator/fulfillment workflows where applicable).
- Process payments, manage billing and renewals, issue invoices, fulfill orders, and detect and prevent fraud.
- Communicate with you regarding updates, offers, or support.
- Analyze usage patterns to enhance performance and functionality.
- Secure the Services, prevent abuse, and diagnose and fix problems.
- Comply with legal obligations and enforce our Terms of Service.
We use data obtained through Discord’s API only in accordance with this Policy, applicable law, and Discord’s Developer Terms.
3. How We Share Your Information
We do not sell your personal information. However, we may share it in the following circumstances:
- Service Providers: With trusted third-party providers who assist us in delivering the Services, such as hosting and infrastructure, payment processing, and analytics, under terms requiring them to use the data only to provide services to us and to delete it when no longer needed.
- Legal Requirements: To comply with legal obligations, respond to lawful requests, or protect our rights and property.
- At Your Direction: When you expressly direct us to share your data with a third party.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction.
For data obtained through Discord’s API specifically, we share it only with service providers, where required by law, or when you expressly direct us to — consistent with Discord’s Developer Terms.
4. Cookies and Tracking Technologies
We use cookies and similar technologies on our websites to:
- Remember your preferences and login information.
- Provide analytics on how the Services are used.
- Deliver targeted advertisements (if applicable).
You can manage or disable cookies through your browser settings, but this may limit the functionality of the Services. Our Discord bots do not use cookies or similar tracking technologies.
5. Data Retention
We retain your personal information only as long as necessary to fulfill the purposes outlined in this Privacy Policy or to comply with legal requirements.
Billing, payment, invoice, and transaction records. As a business operating in Branchburg, New Jersey, we are required to retain certain financial and tax records to comply with applicable federal and New Jersey state laws. These requirements include, among others:
- New Jersey Sales and Use Tax records must be retained for at least four (4) years;
- New Jersey business and financial records (such as invoices and accounts receivable records) are generally retained for at least six (6) years, consistent with applicable statutes of limitation; and
- Federal tax records are generally retained for three (3) to seven (7) years, depending on the circumstances.
To satisfy these overlapping obligations, we retain billing and transaction records for a minimum of seven (7) years. After the applicable retention period expires, we securely delete or anonymize these records unless a longer period is required by law or by an ongoing legal, tax, or dispute matter.
For data obtained through a NexLink Bot, we delete it when:
- It is no longer necessary for the feature it was collected for;
- We stop operating the relevant bot;
- Discord requests deletion;
- You (or the relevant user) request deletion; or
- We are required to delete it by applicable law.
We delete or anonymize such data within a reasonable period once one of these conditions is met, except where we must retain it to meet a legal obligation.
6. Data Security
We take reasonable administrative, technical, and physical measures to protect your information from unauthorized access, loss, misuse, alteration, or disclosure. These measures include encryption of data at rest and access controls. However, no system is entirely secure, and we cannot guarantee the absolute security of your data. We will notify affected users and Discord of any security incident to the extent required by applicable law.
7. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your data:
- Access and Correction: Request access to or correction of your personal data.
- Deletion: Request deletion of your data, subject to legal and operational requirements.
- Data Portability: Receive a copy of your data in a commonly used format.
- Opt-Out: Opt out of receiving marketing communications or certain data collection practices.
California residents have additional rights under the CCPA/CPRA, including the right to know, the right to delete, and the right not to be discriminated against for exercising those rights. Residents of the EEA and UK have rights under the GDPR / UK GDPR, including the rights above and the right to object to or restrict certain processing.
To exercise any of these rights — including correcting, accessing, or deleting your personal data — please contact us at [email protected] or through our relevant support channels (such as our Discord support server or a website support ticket).
To protect your privacy and security, we may take reasonable steps to verify that a request is made by, or on behalf of, the individual to whom the personal data relates. Such verification may include requesting information associated with your account, recent transactions, Discord account details, or other information necessary to confirm your identity. We may decline to process a request where we are unable to verify the identity or authority of the requester. We will respond to verified requests within the timeframe required by applicable law.
